WHAT WE KEEP, AND WHY.

Last updated September 21, 2026 · Loop is in beta; this document will change as the product does, and we will say so here when it does.

The short version

Loop keeps the record of your golf trips. To do that it stores what you and your organizer put in — names, emails, handicap indexes, scores, sides, stakes — and shows it to the people on your Loop. We don't sell it, we don't run ads against it, and we don't move any money. If you want it gone, email us and it goes.

What we collect

  • Account details. Your name, email address and password (stored only as a hash). Optionally a handicap index and home club.
  • What organizers enter. When someone builds a Loop they may add your name, email and handicap index to the roster before you have an account. That information is visible to golfers on that Loop and used to send you the invitation.
  • Play. Scores hole by hole, match results, tee times, sides, games and stakes, and who entered or changed each score and when. Loops that close become part of your group's permanent record.
  • Beta and support mail. If you request beta access or send feedback, we keep what you wrote, your email, and our reply.
  • Location, only if you ask. The "Use my location" button in the organizer console asks your browser for a position once, to suggest a town. We don't store the coordinates.
  • Technical basics. The usual server logs (IP address, browser, pages requested) held by our hosting providers for security and debugging.

What we don't collect

  • Payment details. Nothing is bought or settled through Loop during the beta.
  • Advertising identifiers or tracking cookies. Loop sets only what it needs to keep you signed in and remember your own preferences on your own device.
  • Contacts, photos or anything else on your phone.

How we use it

  • To run your Loops: scoring, leaderboards, settlement math, the recap and the group record.
  • To send the emails you'd expect — the invitation to a Loop, sign-in links, your beta code, a reply to your feedback. We don't send marketing mail without asking first.
  • To keep the service working and secure, and to understand what's used so we can improve it.

Who can see what

Golfers on a Loop see each other's names, handicaps, scores, sides and the book. The organizer also sees the email addresses they entered. Nobody outside a Loop can see it unless the organizer sets it to "anyone with the link" or "public". Your career record is visible to the members of your group.

Who we share it with

Only the services that run Loop, each under its own privacy terms and each seeing only what it needs:

  • Supabase — the database and sign-in, hosted in the United States.
  • Vercel — serves the website and the app, and counts page views. Those counts are cookieless: no persistent identifier, nothing that follows you to another site, and nothing that identifies you.
  • PostHog — counts what happens in Loop, so we can see where people get stuck. It is hosted in the United States and it is cookieless: nothing is stored on your device, nothing follows you to another site, and an event never carries your name, your email or anything you typed. If you ask for an invite, the event carries a one-way scrambled version of your email instead of the address itself, so we can tell that the person who asked for an invite is the person who later signed up. We cannot read your address back out of it. Once you have an account, events are tied to your account so we can tell whether Loop is working for you over time.
  • Resend — sends our email.
  • GolfCourseAPI — course search and scorecards. Your search terms go to them; nothing about you does.
  • OpenStreetMap / Nominatim — town lookup when you search or use your location.

We never sell personal information and we don't share it with advertisers. We'd disclose it only if the law required us to.

Keeping it, and deleting it

Your account and your Loops stay until you delete them. Closed Loops form your group's record, which is the point of Loop, so deleting one removes it from the record for everyone on it — we'll confirm before we do that. To delete your account or anything in it, email hello@loopgolfhq.com from the address on the account; we'll do it within 30 days and tell you when it's done. Guests who joined by link without an account can ask the same way.

Your rights

Wherever you are, you can ask us what we hold about you, ask for a copy, correct it, or have it deleted. Golfers in the EU, UK, California and similar places have those rights by law; we extend them to everyone. Same email.

Children

Loop is for adults organizing golf trips. We don't knowingly collect information from anyone under 16; if you think we have, tell us and we'll remove it.

Changes

If this policy changes in a way that matters, we'll email account holders before it takes effect and update the date at the top.
